Job Description

The Role
We are looking for a proactive and detail-oriented Admin Associate/Admin Executive to
efficiently manage office operations, facility maintenance, and travel and transport
arrangements, including night shift transport management. The role also involves vendor
coordination, event planning, and maintaining accurate records to ensure seamless
administrative support. The ideal candidate will possess strong organizational skills and the
ability to handle multiple tasks in a dynamic environment while ensuring compliance with
organizational policies and safety standards.

  • Oversee day-to-day office administration, ensuring seamless operations, including the management of office supplies, correspondence, and documentation processes.
  • Supervise facility management activities, including office cleanliness, maintenance schedules, security protocols, and compliance with health and safety standards.
  • Manage vendor relationships, including sourcing, negotiating contracts, coordinating service deliveries, and addressing issues related to repairs and maintenance.
  • Coordinate travel arrangements for employees, including booking tickets, accommodations, and managing itineraries while ensuring compliance with company travel policies.
  • Plan and execute internal events, meetings, and employee engagement initiatives ensuring smooth logistics and operational support.
  • Organize and manage transport arrangements for night shift employees, ensuring safety, punctuality, and proper coordination with transport providers.
  • Maintain accurate records of office expenses, procurement activities, and administrative operations, ensuring alignment with organizational policies and budgetary guidelines.
  • Handle invoice processing, follow up with vendors for timely payments, and assist in budget preparation for administrative functions. 
  • Serve as the primary point of contact for internal teams and external stakeholders, addressing queries and providing administrative support as needed.
  • Assist in onboarding new employees by coordinating workspace setup, access control, and providing administrative orientation.
  • Identify and implement process improvements in administrative tasks to enhance efficiency, cost-effectiveness, and overall operational effectiveness.
